Refund & Cancellation Policy
Effective Date: January 1, 2026
1. Scope
This Refund and Cancellation Policy (“Policy”) governs cancellations, changes, and refund requests made in relation to any trek or service booked through Hippie Trek Nepal (“Hippie Trek”). By submitting a deposit or full payment for a trek, you agree to the terms of this Policy.
2. Cancellations by the Client
2.1 Cancellation Schedule
Refunds for Client-initiated cancellations are calculated based on the number of days before the scheduled trek departure date that written cancellation notice is received:
- More than 30 days before departure: Full refund of amounts paid, less a five percent (5%) administrative processing fee.
- 15–30 days before departure: Fifty percent (50%) refund of amounts paid.
- Fewer than 15 days before departure: No refund. Deposits and payments made are non-refundable at this stage due to non-recoverable permit, accommodation, and staffing commitments already made on your behalf.
2.2 Rescheduling
Where a Client wishes to reschedule rather than cancel, we will make reasonable efforts to apply amounts already paid toward a future departure date within twelve (12) months, subject to availability. Rescheduling requests made fewer than 15 days before departure are treated at Hippie Trek’s discretion.
3. Cancellations by Hippie Trek
Hippie Trek reserves the right to cancel a trek due to insufficient group numbers, government restrictions, natural disaster, extreme weather, or other circumstances beyond our reasonable control. In such cases, Clients will be offered either:
- A full refund of all amounts paid; or
- The option to reschedule to an alternative departure date at no additional cost.
Hippie Trek is not responsible for incidental expenses, including international flights, visas, or gear purchased in preparation for a cancelled trek.
4. Trip Interruption
Where a Client voluntarily leaves a trek in progress, for any reason, no refund will be issued for unused portions of the itinerary. Where a trek is cut short due to a decision by the guide on medical or safety grounds, refund eligibility, if any, will be assessed on a case-by-case basis.
5. Travel Insurance Requirement
All Clients are required to hold valid travel insurance covering high-altitude trekking, medical treatment, and emergency evacuation before departure. Hippie Trek strongly recommends that this insurance also cover trip cancellation and interruption, as our own cancellation terms under this Policy are limited as described above. Insurance-related refunds are the responsibility of the Client’s insurance provider, not Hippie Trek.
6. Non-Refundable Items
The following are non-refundable under any circumstance:
- Permit and conservation area fees already submitted to government authorities;
- Non-recoverable third-party costs, including certain accommodation or transportation deposits;
- The administrative processing fee referenced in Section 2.1.
7. Refund Processing
Approved refunds will be processed within fourteen (14) business days of written approval, using the original method of payment where possible. Bank transfer fees, if applicable, may be deducted from the refunded amount.
8. How to Request a Cancellation or Refund
All cancellation and refund requests must be submitted in writing to info@hippietreknepal.com. Requests are considered received on the date of email transmission, not the date of any prior verbal notice.
9. Amendments to This Policy
Hippie Trek reserves the right to amend this Policy at any time. The version of this Policy in effect at the time of your booking confirmation shall apply to that booking.
